The Program Manager acts as the senior project management advocate on accounts, monitoring overall program scope creep and providing detailed oversight of project transactions. Responsible for providing senior-level guidance during the creation of program/campaign scoping, timelines, and budgets. Manages overarching, consolidated program budgets and work-back schedules throughout the life of a client partner’s program/campaign. Facilitates monthly client partner bill-backs by working closely with Finance and Account Management.

Additionally, the Program Manager is responsible for driving the business unit’s annual planning implementation into the workflow system and assuring proposed program/campaign budgets and timelines are realistic and achievable.

Program Administration

  • Ensures all programs and projects are entered to appropriate client architecture structures.

  • Responsible for the consistent and successful facilitation of program(s) from estimation through launch and maintenance.

  • Manages all programs on-quality (tactical), on-time, and on-budget.

  • Manages monthly bill-backs and write off process for their programs.

Annual Workflow Planning

  • Drives annual P1 strategy implementation and timeline development into workflow system

  • Ensures annual budget + tactical grid are aligned with optimal campaign architecture

Team Management

  • Manages and directs day-to-day activities of Project Management team(s) for assigned business units.

  • Oversees ongoing personnel, processes, and systems training for their respective Project Management business units.

  • Facilitates performance evaluations and development plan guidance per UO policies for all assigned direct reports.

Vendor Management

  • Manages approval of all costs/POs for client-related expenses within budgeted scope

  • Ensures all program outside costs are accurately represented in WMJ/WorkFront

  • Oversees entry and set up of new vendors into purchasing and finance systems per UO policies and procedures

  • Other Duties: Based upon the Agency Account Mapping, this may include assumed responsibilities and tasks associated with other roles that would report up to the Program Manager, including, but not limited to: Sr. Project Manager, Project Manager and/or Project Coordinator (per the Project Management Role Matrix).

Resource Management

  • Alert Executive leadership of any potential concerns or issues with meeting key client deliverables due to resourcing.

  • Monitor day to day project activities and resourcing, identifying potential instances of underutilization and actively work with the Practice Leaders to address and solve those issues.

  • Arrange weekly meetings with Professional Services Management team to discuss all active projects and potential new business as well as to stay informed of potential issues such as resource and change control matters.

  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training, and team member involvement activities.

  • Perform other duties as assigned.

  • EDUCATION:  Bachelor’s degree from accredited college or university required.  Preferred degree disciplines:  Marketing, Communications, Marketing/Mass Communications, Advertising, Project Management, Business, Organizational Management, Graphic Design, Art Design

  • CERTIFICATIONS, LICENSES, REGISTRATIONS:  Not required, however, PMP or any other Project Management certifications are a plus

  • EXPERIENCE:  Preferred candidates will have 5+ years of experience in corporate environment with focus on managing a team of five (5) or more who are responsible for developing marketing and advertising messaging strategies and overseeing tactical execution.   Experience with in-house creative agency or marketing/advertising is strongly preferred, or equivalent combination of education and experience.

  • ADDITIONAL INFORMATION:  Experience with project management workflow software (Workfront, Wrike, Basecamp, Workamajig, MS Project, etc.) a plus. Workfront strongly preferred.  Proficiency or working knowledge of MAC OS and Adobe Creative Suite also a plus, but not required.

Preferable skills for success in the role include but not limited to:

  • Advanced project management skills, including strong attention to detail and ability to manage multiple demands simultaneously in fast paced environment.

  • Excellent communication, organizational, and problem-solving abilities.

  • Thorough understanding of studio/graphic arts and creative workflow processes.

  • Strong working knowledge and proven experience with print production processes and techniques (artwork, pre-press, printing.)

  • Strong working knowledge and proven experience with digital development and production processes and techniques (web, mobile, social, etc.)

  • Strong working knowledge and proven experience with video production processes and techniques (photo/film shoot, AV editing and/or motion graphics development.)

     

Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.

Salary range: $100,000 - $125,000 (bonus eligible)
