Aston Carter AP Analyst in Toronto, Ontario

Description:

Purpose of Position:

This position is responsible for Accounts Payable, Fixed Assets and Coupa Application for Procurement. This position also is responsible for general accounting duties assigned.

Accounts Payable and Fixed Assets

• Ensures that Account Payables are processed in a timely manner including:

o Receiving and verify invoices and requisitions for goods and services

o Employee Expense Reimbursement’s review and reconciliation prior to payment

o Verifying that payment claims & transactions comply with policies and procedures (e.g. travel and entertainment expense)

o Preparing and input entries in the Oracle Accounts Payable system

o Preparing any required reports after daily processing for reconciliation purposes between Coupa and Oracle AP

o Preparing vendor cheques for mailing

o Maintaining an appropriate paper or electronic Accounts Payable filing system that provides a proper audit trail;

o Maintaining an accurate list of approved vendors and vendor account numbers;

o Prepares other expense related reports as required including tracking of travel and entertainment expenses and greenhouse gas related expenses

o Review accuracy of vendors/suppliers list in the COUPA application

o Perform duties relating to the operation of the COUPA application, as assigned by superiors, including assisting other business users with the registration of contracts and purchase orders/requisitions

• Ensures that Fixed Assets are processed in a timely manner including:

o Maintaining an accurate record of all fixed assets

o Ensuring all fixed assets are tagged with an appropriate fixed asset identification

o Ensuring fixed assets are entered into the Oracle Fixed Assets correctly in a timely manner

o Ensuring fixed assets are depreciated correctly in the Oracle FA

o Conducting a Fixed Asset review on at least an annual basis by reconciling the Oracle FA records to the actual physical assets

Vendor Risk Management

o Partnering with Canada Branch department heads to collate required information and documents for the purpose of vendor risk management

• Ensure compliance with all Bank Policies and Procedures, including Anti-Money laundering policies, and the requirements of the relevant regulatory bodies

Additional Skills & Qualifications:

NICE TO HAVE:

  • VLOOKUPs, Pivots

  • Schedule III banking experience (foreign banks)

  • Project Management skills

  • Transformation experience

SOFT SKILLS:

  • Ability to communicate extremely well

  • Level of confidence, ability to work with C-Suite folks

  • Proactive approach

Degree in Accounting or equivalent Business certificates.

Experience:

Minimum of 3 - 5 years previous related experience in Accounts Payable.

Knowledge and experience in the operation of a Schedule II / III Bank useful.

Skills:

Ability to organize, plan and co-ordinate.

Computer skills – Excel, Word, Access, Oracle Accounts Payable (AP) and Fixed Assets

Project Management skills

Prior exposure working with Coupa procurement/AP system and Oracle AP system

Basic Accounting knowledge for budget preparation, fixed asset amortization, and entry preparation

Common sense

Tact and diplomacy in dealing with problems, issues and people.

Prior experience in general accounting processes (in addition to Accounts Payable) preferable.
